Delegating an @northwestern.edu (Microsoft 365) departmental email account

Management of delegate access to a departmenal/organizational email account is only supported in the Outlook for Windows client; the functionality is not available in the Outlook Web Application or Outlook for Mac. If you are not running Windows, send an email to servicedesk@northwestern.edu including the names and NetIDs of those for whom delegate access needs to be managed. You first need to create an Outlook profile for the departmental account and then delegate the permissions using the profile.

 

Create Outlook profile for departmental email account

Windows 10

  1. Close the Outlook client.
  2. Click the Windows Start button (generally located in the lower left corner of your display) and then the Settings (gear) icon.
  3. In the "Find a setting" search field, enter "control panel and click the Search (magnifying glass) icon.
  4. Click Control Panel.
  5. In the upper right corner of the window, set the "View by:" drop-down menu to "Small Icons" then click Mail.
  6. Click Show Profiles.
  7. Select the "Prompt for a profile to be used" option and click Add....
  8. In the "New Profile" window, enter the name of the departmental account and click OK.
  9. In the "Add Account" window, change the "E-mail Address:" field to the departmental email address and change the "Your Name" field to the display name of the departmental email account.
  10. Enter the departmental email account password in the "Password:" and "Retype Password:" fields and click Next.

  12. After verifying the credentials and a "Congratulations" message is displayed, click Finish.

Windows 7

  1. Close the Outlook client.
  2. Click the Windows Start button (generally located in the lower left corner of your display).

  8. In the "Add Account" window, change the "E-mail Address:" field to the departmental email address and change the "Your Name" field to the display name of the departmental email account.
  9. Enter the departmental email account password in the "Password:" and "Retype Password:" fields and click Next.

Add a delegate using Outlook for Windows

  1. Launch Outlook, select the profile for the account being delegated and click OK.
  2. Click the File tab.
  3. From the Info tab on the left side of the window, click Account Settings>Delegate Access.
  4. Click the Add... button.
  5. Make sure that the Search: option is set to More Columns and the Address Book selection is set to Global Address List -
  6. Click the name of the person to whom you are delegating access so that it is highlighted, click the Add-> button, then click OK.

  8. Click the Add... button again to delegate access to another person or click OK to finish.
