All Smartsheet licenses will need to confirmed for the license type and chartstring for your Smartsheet user(s) by December 5, 2025 or your accounts will be downgraded to Viewer.
Because of a change at Smartsheet, Northwestern users who need “Editor” or above functionality will be required to have a paid Member license for 2026 and beyond.
What is the cost of a Smartsheet license for 2026?
A Smartsheet license for 2026 will cost $798 per Member per year. The cost may drop slightly if there is enough demand.
How Do I Confirm the Smartsheet License(s)?
Only the listed Contact can see and confirm the Smartsheet license. To confirm a license:
- Visit the Smartsheet 2026 Renewal page
- Click Sign in with Microsoft if you are not already signed in.

- Sign in with your Northwestern email address

- Once signed in, you will see a list of license holders you are listed as a contact for
- Click on the User License Email

- In the Details pop-out panel, enter the required information

- Repeat for each license
Do I Need a Member License?
The license type you need for Smartsheet will depend on what you require. There are four types of user types in Smartsheets: Member, Provisional Member, Viewer, and Guest.
- require a paid license and can create, edit, comment, and have full access to Smartsheets.
- Provisional Members have a "trial" membership with the same access as Members for 90 days. Once the trial period is up, Provisional Members will need to upgrade to full Members to maintain their full access or be downgraded to Viewer.
- can be shared smartsheet items to view and can edit Smartsheets through Dynamic View.
- can be someone outside the institution or a Northwestern student with an @u address. Viewers can comment on sheets shared with them.
