Background
Print Standards provide guidance to Northwestern University schools and departments on key components of Northwestern Print and how print services are provided across campus. The standards define all aspects of Northwestern Print. The full Northwestern Print Standard is on the NU Procurement website.
Northwestern Print provides print services across the entire academic community, including faculty, staff, students, and guests. This Print Standard will apply to all Northwestern University school and department owned or leased Ricoh print devices, new and existing legacy (non-contract) devices, including copiers, multifunction devices (MFD), and printers that are a part of Northwestern Print

This standard supports the University's stated long-term objectives regarding administrative functions including improving user experience, increasing efficiencies, mitigating security risks, achieving sustainability goals, and efficiently using financial resources. Default Settings in Northwestern Print
- Secure Print/Scan: Secure print release is the recommended and preferred method for printing. All print jobs generated will default to the Secure Print printers.
- Secure Print/Scan Release Exceptions: Direct IP printing will be permitted where the business workflow is adversely impacted by Secure Print. Exemptions will be reviewed on a case-by-case basis by local IT working with the Ricoh Applications Administrator.
- Double-sided (duplex) printing: The default setting for all network print devices (MFDs and SFDs) will be double-sided.
- Monochrome (black/white) printing and copying will be the default setting for all network print devices (MFDs and SFDs).
- Single-sided printing or copying may be manually selected for each job.
- Coloring printing or copying may be manually selected for each job. Please note that not all Ricoh MFD or SFD will be capable of color printing.
General Printing Recommendations
- Faculty, staff, and students are encouraged to print only when necessary and consider alternatives to printing.
- Users are encouraged to consider using digital or electronic methods for sharing information, instead of producing printed or hardcopy materials.
- Save, store, and share documents electronically rather than printing hard copies.
- Use the scan to email function to email documents instead printing.
- Make printing a special occasion rather than the norm.
- When printing is necessary, two-sided, black and white printing is strongly encouraged; single-sided and/or color printing should be used judiciously.
- Directing university printing to multi-functional print devices that are part of Northwestern Print which will lower carbon footprint.
- Consider retiring single function network printers and individual print devices and shift printing volume to devices within Northwestern Print environment.
- Print in color only when you need to. Printing in color is significantly more expensive. Please note that not all Ricoh MFD or SFD will be capable of color printing.
MFD / Print Device Acquisition
- Ricoh is the standard for Multi-functional devices / printers for Northwestern University.
- Ricoh devices are leased through the agreement between Northwestern University and Ricoh.
- Purchasing new or used multifunctional devices (MFDs) outside of the Ricoh contract is prohibited.
- All schools and units must obtain any new printing-related equipment and services from the Northwestern Print vendor Ricoh through the Northwestern Print Program.

- All Ricoh print devices must be placed on the network and be managed under the Northwestern Print program.
