Quick Guide for Faculty: Compliance with NIH's Adoption of Common Forms for Biographical Sketch and Current and Pending (Other) Support

Key Requirements

To comply with NIH's updated policies for Biographical Sketch and Current and Pending (Other) Support submissions, Senior/Key Personnel must:

  1. Link their ORCID iD to their eRA Commons Personal Profile.
  2. Use SciENcv to complete all required forms (digitally certified PDFs). 
    • Biographical Sketches
    • Current and Pending (Other) Support
    • NIH Biographical Sketch Supplement
  3. Include their ORCID iD in the Persistent Identifier (PID) section of SciENcv forms.

Deadline: Compliance is required for all submissions by May 25, 2025.

Step-by-Step Checklist

1. Sign up for an ORCID iD or Connect Your Existing ORCID iD to your NetID

  • Visit the NU Validate page and click on Link ORCID to create an ORCID iD or link your existing ORCID iD to your Northwestern NetID.
    • Choose an option:
      • Create a new ORCID iD
      • Connect your existing ORCID iD
    • Follow the prompts to complete the process.
  • Add relevant information to your profile:
  • Adjust visibility settings for records as needed. (Public visibility is recommended for most information.)

2. Connecting Your eRA Commons Profile to ORCID

  • Log in to eRA Commons.
  • Go to your Personal Profile and locate the ORCID iD section.
  • Click Create or Connect Your ORCID iD and follow the prompts to log in to your ORCID account.
  • Authorize the connection to eRA Commons. PLEASE NOTE: After creating or connecting your ORCID iD please close all tabs and windows of the browser to ensure a full logout from the system.

3. Use SciENcv for Biosketches and Support Forms

(More information will be added here when the NIH provides their new forms in SciENcv.)

  • Log in to SciENcv.
  • Create or update your NIH Biosketch and Current and Pending (Other) Support forms:
    • OPTIONAL: Select External Source: ORCID to import data directly into SciENcv.
    • Check to ensure your ORCID iD is present in the Persistent Identifier (PID) section of SciENcv forms.
    • Complete required fields and save your profile.
  • Generate a digitally certified PDF from SciENcv for submission. PLEASE NOTE: Delegates are note able to generate the digitally certified PDF.

4. Delegate Access to Research Administrators

To streamline compliance, delegate access to Research Administrators (RAs):

  • In eRA Commons:
    • Log in and navigate to Account Management.
    • Select Delegate PI Authority and assign permissions to RAs.

  • In SciENcv:
    • Log in and go to Account Settings.
    • Add RAs as trusted individuals to manage biosketches and other forms.
