Abstract: This article is intended to provide process guidance for when an existing computer is being replaced with a new one and actions relevant to the Asset Management system.

Work with the customer to ensure that the relevant computer specifications are ordered |
Prepare the new computer for setup |
Run the appropriate imaging sequence or prestage (if Apple) on the device |
Run through post-imaging QA checks |
Ensure that the new computer has been properly imaged and all required apps are installed and functional. Confirm that the hard disk is encrypted and that the device is reporting into our enterprise threat protection system (e.g., Crowdstrike) |
Schedule time with the customer to deliver the new computer and collect the computer being replaced |
Contact the recipient of the new computer and schedule a time to take them through the first time login/setup as well as facilitate data transfer from the old computer to the new, and lastly collect the old computer. |
Update the TDX Asset status for this computer |
Login to services.northwestern.edu
Navigate to TDXNext, select the "waffle", and choose Endpoint Assets
Click on the +Asset item to add the new computer as a new asset

Fill in as many of the required fields as you can before saving. **NOTE**: You may put 0.00 for "Purchase Cost" if unknown
Edit the record, scroll down to the Status field and change the status to "Inventory" and click Save while waiting to schedule with the customer. Change the status to "In Use" after the customer receives the computer and click Save.

For the old computer
Select Assets in the left side pane and search for the computer by host name or serial number
Edit the record, scroll down to the Status field and change the status to either "Retired" or "Inventory" based on whether the new computer is being prepared for disposal or re-purposing and click Save
