Managing Workspace

What is a Workspace?

20 min

Workspaces are places to collaborate with colleagues on specific content. Power BI designers create workspaces to hold collections of dashboards and reports. The designer can then share the workspace with colleagues.  Designers can also bundle a collection of dashboards and reports into an app and distribute.

Optional* Workspaces in Power BI

Create a Workspace

15 min

You create and manage workspaces in the Power BI service (in a browser at app.powerbi.com), not in Power BI Desktop. Power BI Desktop lets you publish to an existing workspace you have access to but doesn't provide workspace creation settings.

Manage and Secure Power BI

168 min

The NU tenant has limited who can create workspaces. Every School/Unit with an existing shared Power BI service has an administrator to manage the department’s content. Ensure content is accessible and distributed effectively in Power BI to foster collaboration and informed decision-making. Protect sensitive information with robust security, building trust across your organization

Delete / Restore Workspaces

5 min

While a deleted collaborative workspace is in a retention period, Fabric administrators can restore it and its contents.

Please email servicedesk@northwestern.edu with Subject line "#DMA Restore PBI Workspace" to request restoration.

Access to Workspace

5 min

After you create a workspace in Power BI, or if you have an admin role in a workspace, you can give others access to it by adding them to the different roles. Workspace creators are automatically admins.

Publish an App

30 min

In Power BI, you can create official packaged content and distribute it to a broad audience as an app. You create apps in workspaces, where you can collaborate on Power BI content with your colleagues.

Manage Semantic Model Access

15 min

Manage semantic model access permissions in Power BI to keep your sensitive data secure. The semantic model manage permissions page enables you to monitor and control who has access to your semantic model.

Semantic Model

What is a Sematic Model?

10 min

A semantic Model is an established standardized semantic models that can be the one source of truth.

Creating a Semantic Model

80 min

Semantic models organize complex data into an intuitive structure, enhancing data visualization and enabling efficient, insightful reporting for better decision-making. Good modeling practices lead to scalable semantic models that simplify analysis and reporting of large, complex data, enhancing Power BI reports for an optimal user experience.

Share access to a Semantic Model

10 min

To make it possible for other users to take advantage of a semantic model, you can share it with them. Sharing a semantic model means granting access to it.

RLS roles are applied to members who are assigned to the Viewer role in the workspace. AdminMember, or Contributor have edit permission for the semantic model and, therefore, RLS doesn’t apply to them.

OLS roles are applied to members who are assigned to the Viewer role in the workspace. AdminMember, or Contributor have edit permission for the semantic model and, therefore, OLS doesn’t apply to them.

Permissions for Shared Semantic Model

20 min

When you create a report in Power BI Desktop, the data in that report is stored in a data model. When you publish a report to the Power BI service, the data model is also published to the service as a semantic model at the same time. When you share the report with others, you can give them Build permission for the semantic model that the report is built on, so they can discover and reuse it for their own reports, dashboards, etc.

Note* Your admin should be consulted for changes semantic model changes.

In Power BI, you can connect to or import data and reports from these types of files:

  • Microsoft Excel .xlsx and .xlsm files
  • Power BI Desktop .pbix report files
  • Comma-separated value (CSV) .csv files
